1. Policy Statement

At Supplies4lyfe, we are committed to ensuring a fair, transparent, and inclusive recruitment process. We aim to attract, select, and retain the best candidates based on merit, skills, and alignment with our values and goals. This policy outlines our approach to recruitment and selection in compliance with UK employment law and equality legislation.


2. Scope

This policy applies to all internal and external applicants applying for roles within Supplies4lyfe, whether permanent, temporary, part-time, or contractual.

4. Recruitment Principles

We follow these core principles during the recruitment process:

  1. Merit-Based Selection – Candidates are evaluated based on relevant experience, skills, and qualifications.

  2. Consistency – All applicants are assessed using the same selection criteria.

  3. Transparency – Clear job descriptions, selection criteria, and timelines will be shared with applicants.

  4. Confidentiality – All personal data will be handled in line with the UK GDPR and Data Protection Act 2018.


5. Recruitment Procedure

a. Vacancy Identification

  • Hiring managers identify the need for a new or replacement position.

  • Job descriptions and person specifications are reviewed and approved.

b. Advertising

  • Jobs are advertised on the Supplies4lyfe website and/or external job boards and recruitment agencies as needed.

  • Ads include job role, requirements, responsibilities, salary range, and how to apply.

c. Application Process

  • Candidates submit CVs and/or complete application forms by the closing date.

  • All applications are acknowledged and stored securely.

d. Shortlisting

  • A panel of at least two reviewers will shortlist candidates against the selection criteria.

  • Shortlisted candidates will be contacted for interviews.

e. Interviews & Assessments

  • Structured interviews are conducted in person or virtually.

  • Role-relevant tasks or assessments may be included.

  • Notes and scores are recorded for transparency.

f. Selection & Offer

  • The successful candidate is selected based on performance and fit.

  • A conditional job offer is made, subject to references, right-to-work checks, and other pre-employment screening.


6. Right to Work & Pre-Employment Checks

  • All employees must prove their legal right to work in the UK.

  • Supplies4lyfe will conduct background checks including:

    • Identity verification

    • Employment references

    • Criminal record checks (where applicable)


7. Data Protection

  • All candidate data is processed and stored securely.

  • Information will only be retained for as long as necessary and in line with our Privacy Policy.


8. Internal Candidates

  • Internal applicants are encouraged to apply for open roles.

  • The same fair and transparent procedures apply to internal candidates.


9. Policy Review

This policy will be reviewed annually or when significant legislative or procedural changes occur.
